VeloApply ("we", "us") provides a website and a Chrome extension that help job seekers complete online job applications. This policy explains what data we collect, how we handle it, where it is stored, who it is shared with, and how you can remove it. It covers both the VeloApply website at veloapply.com and the VeloApply Chrome extension.
In short: we collect the profile details you give us so we can fill in application forms for you, plus the question text on the application page so we can draft an answer. We do not sell your data, we do not use it for advertising, and we do not use it for anything unrelated to helping you apply for jobs.
1. Data we collect
Personally identifiable information
The profile you build in the extension or on the website. This includes your name, email address, phone number, postal address, work history, education, skills, links such as LinkedIn or a portfolio, work authorisation answers, and any other detail you choose to save so it can be filled into application forms. If you upload a resume, we process the text of that document to populate these fields.
Authentication information
Your email address and password are used to create and access your account. Authentication is handled by Google Firebase Authentication. We do not store your password ourselves; Firebase stores it and returns a session token to your browser.
Website content
When you click Fill on a job application, the extension reads the form on that page. This includes field labels and the text of screening questions asked by the employer. Question text is sent to our server so an answer can be drafted for you. We read only the page you are actively applying on, only when you trigger a fill or have explicitly enabled automatic filling. We do not read your browsing history, and the extension does not activate on document editors, mail clients or other sites that are not job applications.
Usage information
Basic product usage such as how many applications you have filled, which pages of our website you visited, and error events. This is used to enforce plan limits and to fix problems.
What we do not collect
We do not collect health information, financial account details, payment card numbers, your location, your browsing history, or your personal communications.
2. How we use your data
- To fill in job application forms with the profile details you have saved.
- To draft answers to screening questions, using an AI model, so you have a starting point to edit.
- To remember corrections you make to an answer, so the same question fills correctly next time.
- To parse an uploaded resume into profile fields.
- To keep a record of applications you have prepared, so you can track them.
- To authenticate you, enforce plan limits, and provide support.
We do not use your data to build advertising profiles, we do not sell it, and we do not transfer it for any purpose unrelated to the single purpose described above. We do not use it to assess creditworthiness or for lending purposes.
3. How your data is handled and stored
Stored in your browser
The extension stores your saved profile, your session token and your extension settings locally in your browser using Chrome's storage. This is what allows a form to be filled without re-downloading your profile every time. Clearing the extension's data or uninstalling it removes this local copy.
Stored on our servers
Your profile, your saved answers and your application records are stored in a Cloudflare D1 database, accessed through our application server running on Cloudflare Workers. Account credentials and session records are held by Google Firebase Authentication. Data is transmitted over encrypted HTTPS connections.
Data retention: how long we keep it
We keep your profile and application data for as long as your account is active, because the product exists to reuse it. Saved answers are kept so repeat questions fill correctly. If you delete an item from within the product it is removed from our database. If you close your account or ask us to delete your data, we remove it.
4. Who we share data with
We do not sell your personal data to anyone. We share it only with the service providers required to operate the product, and only to the extent needed for them to perform that function:
- Google Firebase handles account authentication. It receives your email address and password at sign-in.
- Cloudflare hosts our website, our application server and our database. Your profile and application data are stored on Cloudflare infrastructure.
- Anthropic processes the text of screening questions, together with the relevant parts of your profile, to draft an answer. This is sent for the purpose of generating your answer and is not used to identify you.
- Adzuna and job listing APIs receive your search terms when you look for jobs. They do not receive your profile.
- Freemius handles payments if you upgrade to a paid plan. Payment card details are entered with Freemius and are never received or stored by us.
- Google Analytics and PostHog receive anonymous website usage data. They do not receive your profile or resume.
We may also disclose data if required to do so by law, or to protect the rights and safety of our users.
5. Your choices and controls
- View and edit everything saved in your profile from the extension popup or your account on the website.
- Delete your profile, individual saved answers, or your whole account at any time from within the product.
- Turn off automatic filling. The extension waits for you to click Fill unless you have explicitly enabled automatic filling in settings.
- Request removal. Email [email protected] and we will delete your data.
- Access and correction. You have the right to access, correct, export or delete your personal information. Contact us and we will help.
VeloApply never submits an application on your behalf. Every AI-drafted answer is highlighted for you to review, and you press submit yourself.
6. Security
Data is transmitted over encrypted HTTPS connections. Authentication is handled by Google Firebase rather than by us storing passwords directly. Access to production data is restricted. No system is completely secure, but we take reasonable measures to protect your information and we will notify affected users of any breach that puts their data at risk.
7. Cookies and analytics
The website uses cookies for sign-in and a small amount of analytics to understand which pages people use. The extension does not use advertising cookies and does not track you across websites.
8. Children
VeloApply is not intended for anyone under 16, and we do not knowingly collect data from children. If you believe a child has provided us with data, contact us and we will remove it.
9. International users
Our service providers operate infrastructure in multiple countries, so your data may be processed outside the country you live in. Wherever it is processed, it is handled under the terms of this policy.
10. Changes to this policy
If we change this policy we will update the date at the top of this page. Material changes affecting how your data is used will be communicated to account holders.
