What a strong administrative assistant resume looks like
A strong administrative assistant resume answers one question: can this person keep our operation running without being chased. Hiring managers look for evidence of ownership across calendars, travel, expenses, office supplies, meeting logistics, and document preparation. The difference between a weak and a strong admin resume is almost always specificity. "Provided administrative support to the leadership team" could describe anyone. "Managed calendars, travel, and expense reports for 4 directors across 2 time zones" describes a professional with a defined scope, and it takes the same amount of space.
Office software is the second thing managers scan for, so name your tools exactly. Microsoft Outlook, Excel, Teams, and SharePoint are the baseline for most corporate roles; Google Workspace matters at startups and nonprofits. Expense systems like Concur or Expensify, scheduling across time zones, and meeting coordination for groups of 10 to 50 people are all worth stating with numbers. If you have ever improved a process, say so plainly: a new filing system, a travel booking template, or an onboarding checklist are exactly the kind of initiative that separates candidates.

EDUCATION & CERTIFICATIONS
Associate of Applied Business, Columbus State Community College (2018)
Microsoft Office Specialist: Associate (2021)
Key skills to include
- Calendar and schedule management. The defining admin skill. State how many people you support and across how many time zones, since that is what determines difficulty.
- Travel coordination. Domestic versus international matters, as does group travel. Mention booking volume or trip complexity to give it weight.
- Expense reporting. Name the system (Concur, Expensify) and the dollar volume you handle. Catching errors, as in the example, turns a routine task into a result.
- Microsoft 365 and Google Workspace. List the specific apps, not just the suite name. Outlook calendar management and Excel tracking are the two most requested.
- Meeting and event coordination. Group size and frequency make this concrete: weekly staff meetings for 40 people is a different job than occasional lunches.
- Document preparation. Proofreading, formatting, and version control for correspondence, reports, and presentations. Accuracy rates are persuasive here.
- Office operations. Supply ordering, vendor relationships, facilities requests. This shows you own the physical workplace, not just the inbox.
How to write each section
Summary
Open with years of experience and the level you support (team, managers, directors, executives). Add the size of the operation and one proof of reliability, such as error-free expense processing or years without a missed deadline. Keep it to three or four lines. For admin roles, a summary that is crisp and error-free is itself a work sample.
Experience
Lead each role with scope: number of people supported, office size, or budget handled. Then convert duties into outcomes. Scheduling becomes "resolved 30 conflicts per month." Expenses become "$180K processed with $9,400 in duplicate charges caught." Every bullet should carry a number, a system name, or a before-and-after. Group routine front-desk work early in your career briefly; give the most space to your most recent, highest-scope role.
Skills
Organize by category: office software, systems (expenses, scheduling, HR portals), and core abilities (proofreading speed, data entry wpm). Mirror the posting's tool names exactly, since admin job descriptions list software as hard requirements and ATS filters check for them.
Education
A high school diploma plus experience is enough for many admin roles, but an associate degree or business certificate strengthens the application. The Microsoft Office Specialist certification is inexpensive, quick to earn, and directly relevant. List it near education so it is easy to spot.
ATS tips for administrative assistant resumes
- Use the posting's software names. If it says Microsoft 365, write Microsoft 365, not MS Office. If it names Concur, Expensify, or Asana, match those exact terms.
- Put the job title in your headline. "Administrative Assistant" should appear in your summary or title line so both software and human screeners match you instantly.
- Avoid graphics and tables. Admin resumes sometimes use fancy templates with skill bars or sidebars. Applicant tracking systems often misread them. A clean single column parses reliably.
- Include a location. Most admin roles are on-site or hybrid, and many employers filter by city. "Columbus, OH" on the resume removes a question before it is asked.

Administrative assistant resume FAQs
What is the best resume format for an administrative assistant?
Reverse-chronological is the safest choice. Hiring managers for admin roles want to see steady employment and growing responsibility at a glance. A functional format hides dates, which raises questions for a role built on reliability.
How do I make admin work sound impressive on a resume?
Attach scale to everything: number of executives supported, size of the office, budget managed, meetings coordinated per month. "Managed calendars for 4 directors across 3 time zones" is concrete. "Provided administrative support" is not.
Should I list typing speed on an administrative assistant resume?
Only if it is genuinely strong, above 65 words per minute, and the job description mentions it. Modern postings care more about Microsoft 365, Google Workspace, scheduling tools, and expense systems than raw typing speed.
What software should an administrative assistant list?
Microsoft 365 (Outlook, Excel, Teams, SharePoint) and Google Workspace first, then whatever the posting names: Concur or Expensify for expenses, Asana or Monday for task tracking, Zoom and Slack for communication. List only tools you have actually used.
How long should an administrative assistant resume be?
One page for up to about 8 years of experience. Admin hiring managers skim quickly and value concision, which is itself a signal for the role. Two pages only makes sense with a long, varied career across industries.
